University Relations Request Forms

 

The following forms can be used to request the usage of WVU Tech’s name and/or the flying WV, as well as share stories and upcoming events, send information to WVU Tech alumni or request assistance with an upcoming project. After submitting a form, the department will contact you regarding your request. If you have questions or concerns about these forms or University Relations projects, contact us at  TechRelations@mail.wvu.edu or 304.929.1403.

Completion of these forms does not guarantee the approval or acceptance of any project or usage request.

Project Request Form

Complete this form if you wish to have University Relations provide support to your department or project. This includes web or print design, photography services and/or social media promotions for an event.

Campus Calendar Event Submission

The university calendar is comprised of user-generated content. The University Relations department is responsible for review and approval of submissions, however, it is the responsibility of the user submitting the event to update or edit the submission if any changes are required. This includes university event submissions that are also promoted elsewhere (i.e. social media events, the Golden Bear Athletics website or city/community calendars).

University Relations will review submissions once each business day. During weekends and semester recesses, calendar submissions will be reviewed periodically. If you have a specific need for a calendar submission or revision to be reviewed or approved outside of the schedule noted above, please notify University Relations at techrelations@mail.wvu.edu.

To submit an event to the WVU Tech calendar:

  1. Open your internet browser (preferred: Google Chrome).
  2. Go to cal.wvu.edu
  3. Sign in using your WVU Login credentials and click on the button labeled Submit an event.
  4. Click "Submit an Event."
  5. Populate the event form with as much information as possible and be sure to set a descriptive title, select a department, and complete other classification details as appropriate. You'll also need to include a plain-text summary of your event description for use on the InfoStations digital signage network where indicated.
  6. Make sure the "department" is tagged as WVU Tech. 
  7. Click on the button labeled Submit Event to complete your event submission.
  8. Event approvers will be notified of new submissions daily, and you will receive email notifications of approval and other event status changes.

    If you also manage a website that includes one or more event feeds from the web calendar, please contact your website support provider and refer them to our page on how to Classify Imported Events which also includes details on using event feeds from the new Localist web calendar.

Ordering University/Licensed Products

Please utilize the following guidelines when ordering apparel using University funds or the University name, graphics or marks.

Products for University Departments and/or Student Organizations
(This includes student organization fundraisers or any product purchased with University funds.)

  • Product color should be gold, navy, white or gray. Additional colors need to be approved by WVU Trademark Licensing.
  • Imprint colors must be PMS 124 (gold) and PMS 295 (blue) or white. 
  • WVU/WVU Tech branding plus st udent organization name must be imprinted on the left chest. Verbiage should be placed below the Flying WV or to the right of the logo.
  • Initials may be used for nationally recognized student organizations.
  • Back may include creative design that meets branding guidelines.
  • Graphics should be positive in nature and cast a good light on WVU.
  • No drugs, alcohol, gambling, firearms or inappropriate language are permitted.
  • WVU branding may consist of the Flying WV, “West Virginia University”, “WVU”, Mountaineer, Mountaineers, Golden Bear, Golden Bears, Golden Bear Athletics, or any University-trademarked graphic.
  • Even if the student organization does not want to include their student organization name on the shirt, the design must meet branding and licensing guideline if University branding or funding are used on the product. 
  • Sponsor logos may appear on the back of the shirt, but no WVU branding is permitted along with the sponsor logos, unless a WVU department is a sponsor. Sponsors should be in alphabetical order unless placement is based on level of sponsorship. If a WVU program is a sponsor, WVU logo should appear at the top, unless it isn’t appropriate based on sponsorship level.
  • If a student organization is hosting an outreach, camp or recruitment event, they should follow these guidelines outlined here. For special events, see guidelines below.
  • Design cannot use trademarks from other entities or derivat ives of those marks.

Products for Events – 5K races, Relay for Life, etc.

  • Product color should be gold, navy, white or gray. Additional colors need to be approved by WVU Trademark Licensing.
  • WVU marks should be separated from the event logo if it is a third party, such as the Relay for Life.
  • Sponsor logos should appear on the sleeve of the shirt.
  • If there are 3 or more sponsors, logos may appear on the back, listed in alphabetical order unless placement is based on lev el of sponsorship. If a WVU program is a sponsor, WVU logo should appear at the top, unless it isn’t appropriate based on sponsorship level.
  • Partner logos may appear on the back of shirts. WVU marks should appear first.
  • Design cannot use trademarks from other entities or derivatives of those marks.

Products for Academic Student Competitions

  • Product color should be gold, navy, white, or gray.
  • Front should have WVU branding plus school, college, department or program name.
  • Use Helvetica font for WVU branding.
  • For posters or other non-apparel items, use of the WVU Tech wordmark is required. 
  • For apparel, verbiage for the competition should be placed below the Flying WV or to the right of the logo on the left chest.
  • Sponsor logos should appear on the sleeve of the shirt.
  • Design cannot use trademarks from other entities or derivatives of those marks.

Trademark Licensing and Using Licensed Vendors
If you’re using any of our bear graphics and/or the words “WVU Tech” or any variation of our name, you’ll need to use an authorized vendor. Additionally, if the shirts are funded by the University (department, SGA or Foundation funds) regardless of whether it mentions the University name, you MUST use the University name AND use an authorized vendor. The use of the trademark symbols (R or TM) must be used in the artwork. The (R) will have to follow the WVU in any instance and the bear graphics must use the TM as provided in the University artwork files. Please use this  licensed vendor list to select your vendor.

Artwork Files
The flying WV, bear paw or any of our bear elements, or any other University artwork can be obtained from WVU Tech University Relations.

Funding/Approval
Also, before this order can be placed, you’ll need to submit this form and obtain approval from your manager, or for student organizations, you’ll need to obtain approval from the Dean of Students Office and SGA.
